Deploying and Supporting Enterprise Search

There are more than 120,000 employees, contractors, and vendors at Microsoft, and they create and store an incredible amount of digital information in the form of Microsoft® Office documents, pictures, videos, Web pages, and other formats. The information is stored on servers throughout the Microsoft network. In many cases, several people can use a document or file to complete assignments if only it is accessible or advertised for use.

For example, an employee on the Office User Assistance team might be developing user documentation for Microsoft Office Word. At the same time, another employee might be creating marketing collateral for a specific vertical industry marketing campaign that includes Office Word as a part of the solution. If the employee creating the campaign is unaware of the user documentation created by the other employee, the documentation is underutilized. Enterprise search can help an employee take advantage of other employees’ knowledge and information. This is the business value of enterprise search. Considering the size of Microsoft and the diversity of jobs, including product development, marketing, operations, sales, and administration, the volume of information involved is overwhelming.

Files and information are stored on a variety of internal content sources, such as document libraries, intranet Web sites, within Exchange Server 2007 data stores, file shares, databases, and local hard disk drives. To make the situation even more challenging, employees continually add new types of content every day.

The problem is how to identify and crawl the information that Microsoft has today and to keep the index up to date with all the new content and content types in the future in a way that is useful to a variety of users. Naturally, maintaining security while ensuring that the index is current is essential to enterprise search.

The solution is the Enterprise Search feature provided in Microsoft Office SharePoint® Server 2007. The new enhancements of the Search feature incorporate fast searching and the Indexing Service. Fast searching builds off the Indexing Service of Office 2003 to create database catalogs of the Office files that are available on a computer’s hard disk, in projects, and in SharePoint Web folders.

Microsoft built the Indexing Service feature from the Index Server technology of Microsoft Windows 2000 to create a better cataloging experience for fast searching and to offer the ability to search any Office file for information that the file contains.

Enterprise Search helps employees to collaborate more easily, reduce duplication of efforts, and perform job functions more efficiently with more depth than in the past. With Enterprise Search, employees can more easily find the people, information, tools, and software necessary to perform their day-to-day job functions. Employees can be more productive and improve the quality of their work without relying on others to assist them in completing their tasks.

By using flexible and innovative indexing rules, Office SharePoint Server 2007 can find relevant data so that Microsoft employees can locate the people and information that they are looking for with greater accuracy. Performance improvements in Office SharePoint Server 2007 help employees locate people and information faster than before.

Many of the principles and techniques described in this paper can be employed to manage deployment and operations risk within any organization, and the design considerations for enterprise search can likewise be applied to almost any enterprise-scale IT environment through Microsoft products. However, this paper is based on the experience and recommendations of Microsoft Information Technology (Microsoft IT) as an early adopter. It is not intended to serve as a procedural guide. Each enterprise environment has unique circumstances; therefore, each organization should adapt the plans and lessons learned described in this paper to meet its specific needs.

NEWS: Microsoft acquires Jellyfish!

Holy crap.  We bought Jellyfish!  The home of Smackshopping!

If you haven’t checked out Jellyfish, you really need to.  This is going to be huge… and people that haven’t tried Jellyfish in the past are going to be going Jellyfish crazy over the next few months.

<rewinding for those that don’t know what Jellyfish & Smackshopping is>
For those of you who’ve never checked out Jellyfish, it’s the world’s most famous Internet-based reverse auction.  It’s got a very loyal and strong following – people actually have "parties" known as "smackparties" around Jellyfish auctions.  Here’s the basic principle behind "reverse auctions":

  1. A product of UNKNOWN QUANTITY is put up for auction on http://jellyfish.com at a predetermined auction time.
  2. An auction is initiated at a STARTING RETAIL PRICE which bidders online bid on in real time.
  3. The price BEGINS TO DROP IN REAL TIME at roughly 1% every 20 seconds or so.
  4. People may buy the product at the currently discounted rate at anytime by "buzzing in" using the web interface.
  5. Once the entire quantity of the product has been sold, the auction is ended.

(By they way, the process is called "smackshopping" and the events are called "smackdowns".  A "smack" is the term used for a group of jellyfish.  A "flock" of geese.  A "school" of fish.  A "smack" of jellyfish.  Got it?)

I believe that this is one of the processes that are patent-pending.  When demand is low for a product, I’ve seen products get discounted as low as 80% off! 

HOW DOES JELLYFISH MAKE MONEY
And how does Jellyfish make money?  Jellyfish is more than just smackshopping.  In fact, smackshopping may be the thing that I’m hyped about but it’s revenue model is the reason Microsoft bought them.

  • SEARCH ENGINE FOR BUYING
    Jellyfish is essentially a search engine for people that want to buy things at a discount.  It takes care of the risk associated with buying from merchants, but it does something interesting when you buy:  It shares the revenue it gets from the sale with you.

    When you buy things on Jellyfish, you basically get a share of the revenue generated from your buying activity.  This doesn’t just include commissions from purchases – it also includes advertising revenue.  The Jellyfish promise is:

    "We share at least half of every $1 we earn when you shop and buy products using Jellyfish.com

  • EBAY IN REVERSE
    The term they use is "eBay in reverse".  At eBay, you the consumer bid to purchase products sold by merchants online.  At Jellyfish, merchants bid on the purchases of consumers of certain specific products as they are searched for in the Jellyfish search engine. 

    Merchants essentially pay for search engine placement and the more they pay, the higher up in the search engine ranking they get, but more importantly, the more money the consumer gets back!  That’s right:  Consumers get 50% of any money that merchants pay for higher search engine placement making these purchases cheaper for buyers.

  • NO ADVERTISING!
    The side effect of all of this is NO ANNOYING ADVERTISING.  There’s no point:  People buy what they want to buy and only see discounts for things they’re interested in buying.

This is yet another process that’s being patented.

In case you missed a previous post I had, here’s a tool that will install into Internet Explorer 6.02/7.0 and will allow you to simply browse to a YouTube or Google Video page and start downloading the video to your system in the form of a .FLV (Flash Video) file. 

It will then in the background, kick off a conversion process that will take the .FLV file and convert it to a .WMV (Windows Media video) file which can be easily played back locally on your Windows PC, your Windows Mobile device, or your Zune.

The tool is called "Zune It" and is immensely cool.  It’s been upgraded recently to make allowances for recent changes in YouTube’s interface.
